HerTalents – Female Executive Search is a brand of Dohrn Consultants GmbH.

2. What this is about

We are an executive search firm. On behalf of client companies we identify specialists and executives, and we approach people whose professional background matches an open position.

This notice describes what data is involved — when visiting our website, when applying, when booking an appointment, and when being added to our candidate database.

3. Visiting our website

When you access our pages, your browser transmits technically necessary data which is stored in server log files:

  • IP address
  • date and time of access
  • page requested, volume of data transferred, status code
  • referrer URL, browser type and operating system

Purpose: delivering the page, system stability and security, defending against attacks. Legal basis: Art. 6(1)(f) GDPR — our legitimate interest in secure operation. Retention: we store log files only for as long as necessary for these purposes. They are not combined with other data.

Hosting: our website is operated by united-domains GmbH, Gautinger Str. 10, 82319 Starnberg, Germany. A data processing agreement pursuant to Art. 28 GDPR is in place.

Our recruiting system is operated on servers in Germany (Contabo GmbH, Nuremberg).

4. Cookies

Cookies are small text files stored by your browser. We use a consent tool that lets you make and change your choices at any time.

We also use a caching tool to speed up page delivery, which relies on purely technical cookies.

We currently do not use analytics, marketing or third-party cookies. Should this change, we will obtain your consent beforehand under § 25(1) TDDDG and Art. 6(1)(a) GDPR and update this notice.

Videos on our pages are delivered from our own server; no data is transmitted to video platforms.

5. Contacting us

If you contact us via the contact form, by email or by phone, we process your details in order to respond to your enquiry.

Legal basis: Art. 6(1)(b) GDPR for contract-related enquiries, otherwise Art. 6(1)(f) GDPR. Retention: until the matter has been dealt with, then within statutory retention periods.

Our email traffic runs via Microsoft 365 (Microsoft Ireland Operations Ltd.) as processor.

6. Appointment booking

For initial and video calls we use a booking system within our own environment. We process your name, email address, the slot you select and any notes you add. Video calls take place via Microsoft Teams.

Legal basis: Art. 6(1)(b) GDPR (pre-contractual measures) or Art. 6(1)(f) GDPR.

7. Job board and applications

We publish open positions on our website. If you apply via the form, we process your contact details, your CV and the documents you submit.

Purpose: reviewing your application, matching it against the advertised position, communicating with you. Legal basis: Art. 6(1)(b) GDPR in conjunction with § 26 BDSG, and beyond that your consent under Art. 6(1)(a) GDPR for further storage. Retention: once the specific position has been filled and if you do not consent to further storage, we delete your documents six months after the process has concluded.

8. Inclusion in our candidate database

8.1 If we approach you

To identify suitable candidates we use publicly accessible professional networks, in particular LinkedIn. If we approach you for the first time without you having contacted us, your basic data originates from such public sources.

We process: name, career history, current and previous employers, position, qualifications, professional and language skills, and the public profile.

Legal basis: Art. 6(1)(f) GDPR. Our legitimate interest lies in placing specialists and executives. On a professional networking profile, being approached for professional purposes is to be expected.

Your right to object: you may object at any time under Art. 21 GDPR — informally to datenschutz@hertalents.de. We will then immediately block your data from any further use.

8.2 If you consent

If we wish to keep you in our candidate database on a lasting basis, we obtain your consent. You receive a personal link by email for this purpose.

Legal basis: Art. 6(1)(a) GDPR. Retention: until you withdraw. At regular intervals we ask whether you still wish to be contacted. Withdrawal: at any time via the link in our emails or informally by email. Withdrawal takes effect for the future; processing carried out up to that point remains lawful.

8.3 What we store

Contact details, career history, education, qualifications, language and professional skills, CV and submitted documents, salary expectations, availability and motivation to change roles, publicly available profile data, notes from conversations with you and our correspondence.

Special categories of personal data within the meaning of Art. 9 GDPR (such as health data, religion, ethnic origin, trade union membership) are not collected by us. If you provide such information unprompted, we do not process it for selection purposes.

9. Matching against open positions

To match profiles against the requirements of open positions we use technical pre-sorting methods. Profession-related information — career history, qualifications, professional skills — is processed in the course of this. Your name is not transmitted for this matching.

Any decision on whether to approach you or present you to a client is made exclusively by a human being. No automated decision-making within the meaning of Art. 22 GDPR takes place.

10. Sharing with our clients

Before we present your documents to a client, we discuss it with you in each individual case. We do not pass on your profile without your approval.

Legal basis: your consent in the individual case, Art. 6(1)(a) GDPR.

11. Recipients and processors

We use carefully selected service providers who act on our instructions (Art. 28 GDPR):

  • Website hosting: united-domains GmbH, Starnberg
  • Hosting of the recruiting system: Contabo GmbH, Nuremberg (servers located in Germany)
  • Email and calendar: Microsoft Ireland Operations Ltd.
  • Technical pre-sorting of profiles: language model processing providers; see section 12
  • Tax advisors and IT maintenance to the extent required

Beyond this, we disclose data where we are legally obliged to do so.

12. Transfers to third countries

For the technical pre-sorting of profiles (section 9) we partly use service providers whose processing takes place outside the European Union. Such transfers are based on the European Commission’s standard contractual clauses pursuant to Art. 46(2)(c) GDPR. A copy is available on request at datenschutz@hertalents.de.

Wherever technically possible, we process within the EU.

  • Object to processing based on legitimate interest (Art. 21 GDPR)
  • Withdraw consent with effect for the future (Art. 7(3) GDPR)

15. No obligation to provide data

You are under no obligation to provide us with your data. However, without your details we cannot support you in finding a suitable position.
